Napa Firewise is a non-profit Public Benefit organization serving as the leading organization for building wildfire resiliency throughout Napa County. Our mission is to help Napa County communities mitigate wildfire risk to protect their family, properties, and businesses while improving forest health. We achieve this by supporting Fire Safe Councils; raising funds through local, state, and federal grants and private donations; and educating our communities on defensible space, home hardening, and wildfire preparedness. Through our robust grants program, we have funded an impactful portfolio of wildfire mitigation projects and educational programs throughout Napa County. We deliver services to various constituents and at multiple scales through three key programs: Vegetation Management for Hazardous Fuels Reduction to facilitate evacuation and effective firefighter response; Wildfire Preparedness Outreach and Education through our network of neighborhood Fire Safe Councils to inform and empower community action; and Residential Defensible Space and Ignition-Resistant Construction to protect property and structures. Projects and Grants Manager Position Available

Napa Firewise is seeking a highly motivated and experienced Projects and Grants Manager to join our dynamic and growing team of wildfire mitigation and preparedness specialists serving Napa County.

Living in or near Napa County would be ideal. Working remotely from your home office, you would visit Napa County project sites a couple of times a month.

As the Project and Grants Manager , you will be responsible for managing our local, state, and federal grants portfolio, which ranges between $10 to $20 million per year from up to seven funders. Reporting to the Executive Director and working collaboratively with the Napa Firewise Program Directors, you will support the team in meeting our organizational objective by managing grant budgets, cash flow, compliance, and reporting requirements.

Compensation: $85,000 – $95,000 per year, depending on experience

ESSENTIAL DUTIES AND FUNCTIONS:

P roject Management

  • Implements the project/grant onboarding process; ensures grant budget and deliverables are clear and tracked; develops grant reporting templates and schedule; ensures environmental compliance requirements are met
  • Works with the Program and Project Managers or Team Leaders to identify project workflow, responsibilities, and timeline for new projects
  • Monitors project progress as it relates to key milestones, work and scope completion, and expenditures; ensures accurate resource availability and management, grant reporting, and cash flow
  • Assists in Vendor Selection and Management: Procurement/RFI and RFP selection, engagement, onboarding and contract negotiation

Grants Management

  • Oversees and maintains all grant reporting, metrics, files, summaries; reviews invoices, receipts, payments received; ensures accuracy of financial reports and deliverables, ensures compliance with work flows and grant report scheduling to meet reporting deadlines
  • Collaborates with the accountant, financial staff, Board Treasurer, and Program Directors, and other staff and consultants on grant timelines, budgets, progress reports, deliverables; develops workplans, and ensures accurate accounting and reporting of grant funds
  • Monitors grant performance and provides feedback to program staff and funders; ensures all required documents are current and in place for new grants
  • Responds to inquiries from applicants and grantees

Grants Financial Management

  • Manages and tracks grant funds to ensure compliance with grant award agreements, funder regulations, and guidelines
  • Coordinates with accountant/financial staff for monthly income and expenditure reports; tracks grant expenditures and invoicing for each grant and/or project
  • Coordinates with Project Managers to stay within budgets
  • Reports data on budget draw down, cash flow, performance metrics, and outcomes per grant requirements

Grant Reporting

  • Prepares grant, financial, and progress reports, and other communication materials for internal and external partners
  • Works with Program Managers and other staff to document grant deliverables

Grants Committee

  • Participates in Grants Committee meetings; participates in meetings with Program Staff to provide updates on grant activities and identify new funding opportunities
  • Works with contract Grant Writers to develop and processes proposals

QUALIFICATIONS:

  • Bachelor’s degree in a related field (e.g., Business Administration, Finance, Non-Profit Management), or equivalent experience
  • At least 3-4 years of experience in project management, grant management and administration, preferably in a non-profit organization
  • Ability to manage a diverse grant portfolio of between $10 million to $20 million annually
  • Passion for and Familiarity with wildfire mitigation, fire safety, and forest health practices
  • Proficient with MS Office 365, required; familiarity with Microsoft Teams, QuickBooks
  • Proficiency with MS Office 365 Suite is required; financial accounting, grant, and project management software experience is highly advantageous (such as: QuickBooks, e-civis, zoom grants, Monday.com)
  • Strong financial data management skills; experience entering financial and progress reports into online grant portals
  • Strong research, analytical, and communication abilities together with excellent grant reporting skills
  • Strong project management skills, with the ability to manage multiple, often tight, deadlines and prioritie
  • Experience managing grant writing, budgeting, and tracking reporting schedules
  • Detail-oriented with exceptional organizational skills
  • Ability to work independently and as part of a team
  • Strong interpersonal skills and ability to work with diverse partners
  • Strong written and verbal communication skills
